Summer Coordinators

The Summer Student Coordinator will work in the Office of Residential Education (ResEd) to assist in the management of the office and the implementation of office programs and initiatives.

This student will work full-time (37.5 hours per week) over the summer and part-time into the following academic year (8-10 hours per week).

General Expectations

  • The student coordinator cannot be involved in other employments opportunities, major leadership positions or fall athletics due to possible direct conflicts with position responsibilities. If you have questions as to whether your current commitments allow for you to take on this role, please contact the Office of Residential Education (ResEd).
  • Applicants must be in good academic and conduct standing with the institution.
  • The student coordinator is expected to live on campus over the summer and serve as a summer RA (see below for more details).
  • The student coordinator is expected to be available and working leading up to and during summer housing transitions, early arrival dates, and fall semester move-in time periods, including outside of normal business hours. The student coordinator will work with their supervisor on exact dates and times required during these periods, most of which occur in the month of August.
  • Time out of the office should be coordinated with the student coordinator's direct supervisor. The student coordinator is not paid when they are out of the office (due to approved/planned time away or sickness).

Primary Duties and Responsibilities

  • Responsible for the operation of the front desk and providing a welcoming and inclusive environment for all visitors and callers to the office
  • Serve as the primary office staff: answer and transfer calls, return voicemails, respond to and manage office email accounts, complete errands, and greet and assist visitors
  • Assist in covering office responsibilities during professional staff vacations and remote work days
  • Partner with the professional staff members to accomplish a number of Office of Residential Education (ResEd) projects, including but not limited to:
    • Early Arrival Housing Coordination
    • Residential Student Staff Training Preparation
    • Residence Hall Move-In (including volunteer coordination)
    • Website re-imagination and revisions
    • Summer Engagement Series for incoming students
    • Residential Guidebook policy revisions
    • Assistance with developing content for the office’s Instagram
  • Provide outstanding customer support to students and families
  • Work closely with the professional staff in the Office of Residential Education (ResEd)
  • Liaison and coordinate with other campus departments including, but not limited to the Center for Student Success, College Life, Dining Services, Facilities Services, and Campus Safety
  • Correspond with residential student staff members over the summer with pertinent information
  • Understand residential protocols, policies, and processes in order to assist students, parents, and staff over the summer in relation to students' residential experiences
  • Working knowledge of and/or willingness to learn CMS, Housing Director (THD), Google Drive, Microsoft Office Suite, 25 Live (scheduling system), and EngageGettysburg
  • Maintain confidentiality in regards to all information made available to you through this position
  • Conduct key inventories, pull keys for student arrivals, check-in students, check-out students, and document key returns
  • Staff summer housing transitions key pick-ups and returns
  • Attend all meetings for student assistants and professional staff meetings, as needed
  • Other duties as assigned

Summer RA Responsibilities

  • Keep residents informed by providing necessary information to residents via posters, phone calls, and emails
  • Monitor and respond to any kitchen usage conflicts and cleanliness issues
  • Assist with student concerns (e.g. roommate conflicts, policy violations), documenting these issues on a consistent basis and referring to professional staff or Campus Safety when necessary
  • Refer residents to campus resources, as needed
